What is a credit note?

A credit note is a document issued by a supplier to reduce the value or the tax of a supply already invoiced — because goods were returned, a discount was agreed, or the original invoice overstated the price or the tax. Under GST it must reference the original invoice, and the supplier can only reduce their tax liability if it is declared within the time limit prescribed.

When it is issued

Goods returned, services not rendered as agreed, a post-supply discount that was agreed beforehand, or an original invoice that simply charged too much.

The time limit

A supplier can reduce their output tax liability through a credit note only if it is declared within the prescribed period — broadly tied to a return for the following financial year. After that the commercial credit can still be given, but the tax cannot be recovered.

The recipient must reverse

Where the recipient has already claimed input credit on the original invoice, they must reverse the corresponding amount. The adjustment has two sides and only works if both happen.

In stock and in the ledger

A credit note for returned goods should also bring the stock back and reverse the cost, not just adjust the receivable. A credit note that moves money without moving stock is how stock records start lying.

Related questions

Is there a deadline for issuing a credit note under GST?

For reducing your tax liability, yes — it must be declared within the prescribed period, broadly tied to a return for the following financial year. You can still issue a commercial credit afterwards, but the tax is no longer recoverable.

Does a credit note reverse the stock as well?

It should, where goods have come back. A credit note that adjusts only the money leaves the stock ledger overstating what you sold and understating what you hold.

What must the recipient do?

Reverse the input credit they claimed on the original invoice to the extent of the credit note. The adjustment only nets to zero across the system if both parties act.
